This Privacy Policy explains what personal information we collect when you enquire about or book a retreat, why we use it, and your choices.
1. Who We Are

Mytton LTD is generally the data controller for the personal information we collect.
2. Information We Collect
Depending on how you interact with us, this may include contact details (name, email, phone, address); booking information (retreat, dates, accommodation, payment history); travel information (arrival/departure, flights, transfers, passport/visa details where relevant); marketing preferences; website usage data (IP address, browser, cookies); and photography or video taken at retreats for promotional purposes.
We may also ask for health, wellbeing and dietary information — allergies, medical conditions, accessibility needs — via a post-booking questionnaire, to support your safe participation. This is special category data under UK GDPR and receives additional protection; we collect only what's relevant and necessary.
3. How We Use It & Our Legal Bases
We use your information to manage your booking, take payments, arrange accommodation and transfers, understand your requirements, provide customer service, send retreat updates and (where permitted) marketing, maintain business records, comply with legal obligations, and promote Mytton through retreat photography you haven't opted out of.
We rely on one or more of: contract (to provide the retreat you've booked), legal obligation, legitimate interests, and consent (for certain marketing and sensitive information).
4. Health Information
We process health information because it's necessary to deliver a safe retreat (contract), and because special category data also requires your explicit consent, given by completing the health questionnaire. You can withdraw this consent at any time, though it may affect your ability to safely take part in certain practices.
We retain health information for no longer than 24 months after your retreat, unless we need it longer for a legal obligation or to establish, exercise or defend a legal claim.
5. Who We Share It With
Where necessary, we share relevant information with accommodation providers, transfer providers, facilitators and practitioners, payment providers (Stripe), our website host (Gather.io), our email platform (Klaviyo), professional advisers, insurers, and public authorities where legally required. We share only what's reasonably necessary for the purpose.
6. International Transfers
Because we operate internationally and work with overseas suppliers, some personal information may be processed outside the UK. Where this happens, we take appropriate steps to ensure it receives an adequate level of protection.
7. How Long We Keep Information
We keep personal information only as long as reasonably necessary — to manage your booking, maintain financial and business records, resolve disputes, comply with legal obligations, and maintain records of consent and marketing preferences. Health information follows the retention period in Section 4.
8. Your Rights
You may have the right to access, correct, delete or restrict use of your personal information, object to certain processing, request portability, or withdraw consent where processing relies on it. Contact retreats@alexmytton.co.uk to exercise any of these.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator — though we'd appreciate the chance to resolve any concern directly first.
9. Cookies
Our website (hosted through Gather.io) may use cookies and similar technologies to operate effectively, understand usage, and support analytics or marketing. Where the law requires consent for non-essential cookies, we'll ask for it.
10. Changes to This Policy
We may update this Privacy Policy to reflect changes to our business, technology or legal requirements. The latest version is always available on our website.
